Bodywork Professionals LLC (“Bodywork Professionals,” “we,” “us”) runs massage therapy and bodywork studios in Latham, Niskayuna, Saratoga Springs and Clifton Park, New York, and the website bodyworkprofessionals.com.

This policy explains what information we collect when you visit our website, book an appointment, buy a gift certificate, call us or chat with us, and how we use it. We do not sell your personal information.

Information we collect

When you book an appointment. Online booking is handled by Mindbody. You give your name, phone number, email address and appointment details. Intake forms ask about your health so your therapist can work safely (see Health information below).

When you buy a gift certificate. You give your name, email address, billing details and, if you choose, the recipient’s name and a message. Card payments are processed by Stripe. We do not see or store your full card number.

When you call us. If you reach our website from a Google ad, the phone numbers on the page may be replaced with a Google forwarding number. Google then tells us that a call happened, its date, time and length, and the caller’s area code. We use this only to see which ads lead to calls. Calls to our studios may be recorded.

When you chat with us. Our website chat is provided by Mindbody. What you type in the chat, and any contact details you give, are stored so we can answer you.

When you browse our website. Like most websites, we automatically receive information such as the pages you visit, how you arrived (for example, from a Google search or ad), your general location (city level), and your device and browser type. See Cookies, analytics and advertising below.

Cookies, analytics and advertising

Cookies are small files a website stores in your browser. We use them for three things:

• Making the site work — for example, keeping items in your gift certificate cart.
• Understanding how the site is used — we use Google Analytics to count visits and see which pages are useful. Google Analytics reports to us in aggregate; it does not tell us who you are.
• Measuring our advertising — we use Google Ads to show ads on Google search. Google Ads cookies tell us when someone who clicked an ad later books, calls or buys a gift certificate. Google may also use cookies to show our ads to people who have visited our site before, on Google and on other websites and apps.

How we use your information

• To book, confirm, remind you of and provide your appointments.
• To give you safe, appropriate care.
• To process gift certificate orders and deliver them.
• To answer your calls, messages and chat questions.
• To send appointment-related emails and texts. To send occasional news and offers, which you can unsubscribe from at any time.
• To understand how our website and advertising perform, and improve them.
• To keep business, tax and legal records, and to protect against fraud.

Who we share it with

We do not sell or rent your personal information. We share it only with companies that help us run the business, and only what they need:

We may also share information if the law requires it, to protect someone’s safety, or if the business is sold or reorganized (in which case this policy would continue to apply).

Health information

Our intake forms ask about injuries, conditions, medications, pregnancy and other health matters so your therapist or acupuncturist can treat you safely. We keep this information confidential.

It is seen only by the practitioners and staff who need it for your care and scheduling. We never use it for advertising, and we never share it with advertisers. We share it outside the practice only with your permission or when the law requires it.

Your choices

• Emails: use the unsubscribe link in any marketing email, or ask us. We will still send messages about appointments you book.
• Cookies: you can block or delete cookies in your browser settings. The site works without them, though a gift certificate cart may not.
• Google Analytics: you can opt out with Google’s browser add-on.
• Personalized Google ads: manage or turn off at My Ad Center.
• Your records: you can ask to see, correct or delete the personal information we hold about you. We may need to keep some records for tax, legal or health-record reasons, and we will tell you if so.

Security

We use reasonable safeguards to protect your information, including secure (HTTPS) connections on our website and trusted providers for booking and payments. No system is perfectly secure; if a breach affected your information, we would notify you as New York law requires.

How long we keep information

We keep client and health records for as long as needed to care for you and to meet legal and tax requirements, and order records for as long as accounting rules require. Website analytics data is kept in Google Analytics under its retention settings.

Children

Our website is not directed to children under 13, and we do not knowingly collect their information online. Appointments for minors are booked by a parent or guardian.

Changes to this policy

If we change this policy, we will post the new version here and update the effective date.
